Job Description

The Chief Administrative Officer (CAO) is responsible for managing Feeding South Florida’s (FSF) daily administrative operations, ensuring efficient internal processes and seamless workflows. This role will collaborate with the Executive Team and Board of Directors to develop and implement policies, manage budgets, and ensure compliance. The CAO brings strong financial acumen to support sound fiscal planning and resource allocation. Additionally, the CAO plays a key role in fostering team member productivity and cultivating a highly inclusive culture where team members can thrive. End date August 31, 2025 Opportunity type Job Category Executive Director / CEO / Other C-Level Executives Job responsibilities Oversee day-to-day administrative functions, including managing human resources, IT, facilities, and finance and accounting. Develop actionable business strategies, objectives, and plans that ensure alignment with short- and long-term objectives developed with the CEO. Identify areas of the organization where systems, processes, and controls can be improved, including managing, organizing, and coordinating team members from different areas and developing and implementing plans to optimize these processes. Play a critical role in financial planning, strategic planning, and forecasting while overseeing the financial management of the organization, including budgeting, forecasting, and ensuring operations stay within budgetary constraints. Analyze financial data to identify trends, variances, and opportunities for cost savings or revenue enhancement. Ensure compliance with GAAP, applicable government agencies, and revenue-based contracts. Ensure compliance with all federal and state tax regulations, including IRS filings, and nonprofit financial reporting requirements. Oversee financial reporting for grants and contracts and ensure compliance with all terms and conditions. Coach and develop the team to ensure they deliver against key business metrics. Develop and implement organizational and employee development programs. Work with HR to create a long-term organizational training program and ensure compliance with employment law. Provide mentoring opportunities for team members and work with HR on talent development. Create and provide timely, accurate reports on FSF’s operating condition on a weekly, monthly, quarterly, and annual basis. Collaborate with the CEO and other executives to develop and implement business strategies aligned with FSF’s goals. Identify and mitigate potential risks, developing and implementing risk management strategies. Ensure regulatory compliance and oversee legal and compliance matters. Support the CEO in other matters as requested. Position qualifications Bachelor’s degree in Accounting, Finance, Business Administration, or a related field. Six Sigma certification a plus. Minimum of ten (10) years of leadership experience, preferably in a nonprofit or fast-paced environment. Strong operational expertise across various departments, including budgeting and risk management. Strong knowledge of GAAP and IRS regulations; nonprofit accounting principles and understanding of tax-exempt organizations are a plus. Proven track record of developing and implementing strategies aligned with organizational goals. High level of discretion, judgment, and integrity. Ability to work in a fast-paced environment with high accuracy. Strategic thinking and adaptability to changing environments. Ability to build and maintain internal and external relationships. Mentoring, coaching, and supporting staff growth. Excellent analytical, problem-solving, and organizational skills. Entrepreneurial mindset and nonprofit experience are pluses. Physical demands & working conditions Hours: Monday-Friday, 8:00 a.m. – 5:00 p.m., with occasional additional hours during peak times. Environment: Office setting with occasional warehouse or outdoor work in inclement weather. Moderate to loud noise levels. Travel: Occasional travel for meetings, conferences, or events, possibly using a personal vehicle. Lifting: Up to 50 pounds; heavier loads require team lifting.
