About the Opportunity:

We are seeking high-performing Executive Assistant(s) to serve as the strategic right hand(s) to the C-suite , ensuring seamless day-to-day operations across the firm, clients, and personal life. This role requires discretion, initiative, emotional intelligence, and a deep understanding of organizational dynamics and C-suite expectations. The ideal candidate will have a proven track record of effective time and project management, a proactive, results-oriented mindset, and the ability to manage upward with C-suite executives. They must also be capable of working independently and professionally while balancing multiple high-level priorities, often under tight deadlines. Key Responsibilities

I. Executive & Personal Support, Front Office Operations

  • Manage and strategically prioritize the leader’s complex calendar across multiple entities, along with other administrators.
  • Support the leader in meetings: capture action items, communicate follow-ups, and ensure timely execution.
  • Draft and edit high-level correspondence, talking points, and briefings in the voice of the leader. 
  • Work closely with the Director of Operations to maintain task tracking systems (such as Asana) to ensure C-suite and client priorities are proactively supported.
  • Coordinate internal and external meetings: manage Zoom logistics, pre-read materials, agendas, on-site needs, and technology requirements.
  • Demonstrate initiative by identifying new methods and systems for streamlining these processes and undertaking additional responsibilities as needed.
  • Make dining and travel reservations, and plan itineraries.
  • Complete shopping and run errands as needed.
  • Research, hire, and oversee contractors or services 
  • Serve as a team member in supporting the planning and coordination of private and large-scale work events.
  • Maintain confidentiality and discretion in all matters.

II. Meetings, Offsites & Event Coordination

  • Lead logistics for internal and external meetings, conferences, and stakeholder engagements.
  • Manage travel, catering, printed materials, and technical support for major events.
  • Act as the primary point of contact for event vendors, negotiating contracts, managing service delivery, and overseeing execution.
  • Coordinate board meetings: logistics, documentation, compliance support, and follow-up communications.
  • Track and synthesize stakeholder interactions to inform future engagement strategies.
Characteristics of an Ideal Candidate

  • Bachelor’s degree desired. 
  • Prior experience supporting executives 
  • Minimum 5+ years of experience in executive administration or senior-level support roles.
  • Ability to travel domestically and up to 15% of the time. 
  • Proven ability to build strong relationships with diverse stakeholders, often including C-suite executives, board members, and public officials.
  • Highly organized, resourceful, and detail-oriented with exceptional project management skills and the discipline to proactively seek out and address potential challenges.
  • Outstanding written and verbal communication abilities; able to draft, edit, and ghostwrite with nuance.
  • Emotionally mature, proactive, and able to exercise excellent judgment and discretion under pressure.
  • Skilled researcher and critical thinker with a forward-looking, problem-solving mindset.
  • Able to independently manage multiple high-priority projects while remaining flexible and adaptable to rapidly shifting circumstances.
  • Passion for mission-driven, community-focused work (education, nonprofits, or public policy preferred).
  • High proficiency with Microsoft Office Suite, Google Workspace (G-Suite), and comfort with CRM systems (e.g., MailChimp), Asana, Canva, and Slack.
